1. Who We Are

Aurora Dune LLC operates Ix-It, a software service for organizing properties, inventory, equipment, repairs, maintenance tasks, vendors, expenses, documents, and related records.

2. Scope

This Privacy Policy applies to the Ix-It website, web application, mobile application(s), account features, billing-related interactions, support communications, and related services (collectively, the “Service”). It does not apply to third-party websites, applications, payment processors, sign-in providers, or calendar services that are operated by third parties and governed by their own privacy policies.

3. Information We Collect

3.1 Account and Authentication Information

  • Email address;
  • Password or authentication information handled by our authentication providers;
  • Login provider details if you sign in using Google, Apple, Facebook, or Microsoft;
  • Account status, subscription tier, invitation status, and related account settings.

3.2 Property, Inventory, Maintenance, Vendor, and Insurance Information

  • Property details such as property name, ZIP code, property type, photo, year built, square footage, bedroom/bathroom counts, purchase date, purchase price, and notes;
  • Inventory and asset details such as property, category, location, brand, model, serial number, owned/leased status, value, condition, purchase date, and warranty expiration;
  • Maintenance records such as title, due date, comments, description, frequency, vendor, estimated cost, and expense type;
  • Vendor information such as name, category, phone, email, website, address, rating, preferred status, and notes;
  • Insurance information you choose to enter, such as policy name, provider, policy number, coverage type, status, premium, payment frequency, coverage amount, deductible, dates, agent contact information, associated property, and notes.

3.3 Uploaded Files and User Content

You may upload optional photos and documents, including property photos, item photos, receipts, manuals, warranties, invoices, and other documents you choose to associate with properties, items, or maintenance records. Users may choose to upload sensitive documents, such as insurance policy documents, even where those documents are not required by the Service.

3.4 Invited Users and Shared Access

If you invite household members, employees, contractors, team members, or other collaborators, we may collect their email addresses, invitation status, and access roles or permissions.

3.5 Technical, Usage, and Communications Information

  • IP address, browser type, device type, operating system, app or browser version, log data, timestamps, and diagnostic information;
  • Approximate location inferred from IP address or property information you choose to enter;
  • Support emails, messages, attachments, and other information you send to us.

3.6 Vendor and Contractor Contact Information

If you enter information about vendors, contractors, or other service providers who are not Ix-It users, such as their name, phone number, email address, or mailing address, that information is provided by you and is used only to help you manage your own records, such as maintenance history and vendor communications within the Service. We do not use this information to market to those individuals. You are responsible for having any consent or authority needed to store a third party’s contact information in the Service.

4. Device Permissions

  • Camera – to capture photos of properties, items, receipts, documents, and QR or barcode labels;
  • Photo library/media – to upload existing photos;
  • Files/storage – to upload receipts, manuals, warranties, invoices, and other documents;
  • Notifications – to send reminders, maintenance alerts, service updates, and account notices if enabled;
  • QR/barcode scanning – to support inventory and asset tracking;
  • Calendar access – to add maintenance items or reminders to Google Calendar or Apple Calendar if you choose to use that feature.

Ix-It does not currently require precise device location for core functionality.

5. How We Use Information

  • Provide, operate, maintain, and improve the Service;
  • Create and authenticate accounts;
  • Manage properties, inventory, equipment, vendors, maintenance tasks, expenses, documents, and related records;
  • Use artificial intelligence and image-recognition technology to help identify, categorize, and extract details (such as brand, model, serial number, or estimated value) from photos and documents you upload, as described in Section 7 (AI Features and Automated Processing);
  • Sync data across authorized users and devices;
  • Process subscriptions and billing through payment providers;
  • Send account, billing, security, support, maintenance, reminder, and service-update communications;
  • Generate internal reporting and usage insights;
  • Troubleshoot, secure, prevent abuse, and enforce our agreements;
  • Comply with legal, accounting, tax, audit, and regulatory obligations.

6. How We Share Information

We do not sell personal information and do not share personal information for cross-context behavioral advertising. We do not currently use advertising SDKs.

6.1 Service Providers

We share information with vendors that help us operate the Service, including Base44 for app hosting, database, platform, and certain AI/OCR functionality; Stripe for payment processing and subscriptions; Google Workspace for email; and third-party sign-in providers if you choose to use them.

6.2 Other Users You Authorize

If you invite another person to a property, household, business workspace, or record, information in that shared area may be visible to authorized users according to the permissions you or the account owner grant.

6.3 Legal, Safety, and Business Transfers

We may disclose information where reasonably necessary to comply with law, legal process, or governmental requests; prevent fraud or security incidents; enforce agreements; protect rights, safety, or property; or complete a merger, acquisition, financing, sale of assets, reorganization, bankruptcy, or similar transaction.

7. AI Features and Automated Processing

Ix-It uses artificial intelligence, machine learning, and optical character recognition technology (“AI Features”) — provided in part through our hosting and platform provider, Base44, and its underlying AI/OCR service providers — to help identify items, extract information from photos and documents, and populate records automatically.

7.1 How AI Features Work

When you upload a photo or document, it may be processed by AI Features to detect and suggest information such as brand, model, serial number, category, condition, or estimated value, and to extract text from receipts, manuals, or similar documents. AI-generated suggestions are populated into your records but remain editable by you.

7.2 Accuracy

AI-generated identifications, extractions, and valuations are provided for organizational convenience only and may be incomplete or inaccurate. Ix-It does not guarantee the accuracy of AI-generated information. You are responsible for reviewing and verifying AI-generated information before relying on it, including for insurance, tax, legal, warranty, or financial purposes. See also Section 9 of our Terms of Service (Sensitive Information and No Professional Advice).

7.3 Use of Content for AI Processing

Photos and documents you upload may be transmitted to Base44 and its AI/OCR subprocessors solely to provide AI Features to you. We do not use your photos, documents, or other User Content to train our own AI models. Our service providers process User Content solely to provide AI Features to you, subject to their own privacy, security, and data-handling practices described in the vendor links in Section 6.1. If our practices change in a way that materially affects how your content is used for AI purposes, we will update this Policy and, where required by law, provide additional notice.

7.4 Retention of AI-Processed Content

Photos and documents processed by AI Features are retained together with the rest of your account content according to Section 10 (Retention), unless you delete them earlier.

8. Cookies, Local Storage, and Similar Technologies

8.1 What We Use

Ix-It’s application does not itself set advertising or tracking cookies, and we do not use advertising SDKs or cross-site tracking technologies. The Service uses the following technologies:

  • Authentication and Session Storage: Sign-in and session management are handled by our hosting and platform provider, Base44, which may use session cookies or similar tokens to keep you signed in and secure your session. See the Base44 vendor links in Section 6.1 for details on the platform’s practices;
  • Local Storage: The Service uses your browser’s local storage to remember minor preferences, such as your currently selected property, so the app functions correctly between visits. Local storage is not used for tracking, analytics, or advertising;
  • Payment Cookies: If you subscribe to a paid plan, checkout is completed on Stripe’s own checkout page, which sets its own cookies for payment processing and fraud prevention. Those cookies are governed by Stripe’s Privacy Policy, not this one; see the Stripe vendor links in Section 6.1.

8.2 Your Choices

You can control or clear cookies and local storage through your browser settings. Clearing local storage may reset in-app preferences, and blocking session cookies may prevent you from staying signed in. Where required by law, we recognize the Global Privacy Control (“GPC”) and similar opt-out preference signals as a valid request to opt out of the sale or sharing of personal information and targeted advertising, to the extent applicable, though as described above Ix-It does not currently engage in such sharing.

8.3 Do Not Track

Some browsers offer a “Do Not Track” signal. Because there is no common industry standard for responding to such signals, and because the Service does not perform cross-site tracking or advertising, we do not currently respond differently based on a detected Do Not Track signal, other than as described for GPC above.

9. Payments

Ix-It offers free and paid tiers. Payment processing for paid subscriptions is handled by Stripe or another payment processor we designate. We do not store full payment card numbers on Ix-It systems. Stripe processes payment card data on its own systems. We may receive limited payment-related information such as customer ID, subscription ID, invoice or billing status, transaction metadata, plan level, and limited billing details needed for customer service, accounting, fraud prevention, and recordkeeping.

10. Retention

  • Account and profile information: retained while your account is active and for a reasonable period afterward for recovery, legal compliance, fraud prevention, dispute resolution, and operational continuity;
  • Property, inventory, maintenance, vendor, insurance, note, and uploaded-content records: retained while associated with an active account or shared workspace unless deleted earlier;
  • Support emails: generally retained up to 1 year unless longer retention is needed for legal, security, or dispute reasons;
  • Analytics, reporting, operational, and system records: may be retained up to 5 years unless longer retention is reasonably necessary;
  • Backups: may remain until overwritten or rotated under our backup practices, including quarterly backup rotation;
  • Billing, payment, tax, accounting, invoice, refund, chargeback, and transaction records: may be retained for up to 7 years, or longer if required by law or needed for audits, disputes, fraud prevention, or compliance.

11. Account and Data Deletion

You may delete your account in the app if the feature is available or contact us at support@ixitapp.com. Some information may remain for limited periods in backups or where retention is required or permitted for legal, tax, accounting, dispute, security, fraud-prevention, or shared-workspace reasons. See the Ix-It Account Deletion and Data Deletion Policy for more details.

12. Security and Incident Notification

We use reasonable administrative, technical, and organizational safeguards designed to protect information. Based on our current platform setup, the Service relies in part on Base44 infrastructure and platform controls, which include platform-level security, encryption in transit and at rest, access controls, and related security practices as described in Base44 official documentation. No method of storage or transmission is completely secure, and we cannot guarantee absolute security.

If we become aware of a security incident that compromises your personal information in a manner requiring notification under applicable law, we will notify affected users and, where required, applicable regulators without undue delay and in accordance with applicable law.

13. Children’s Privacy

Ix-It is not directed to children, and we do not knowingly collect personal information directly from children under 13 (or under 16 where a higher age applies under applicable law, such as in the European Economic Area or United Kingdom). Account holders should not provide personal information about a child unless they are the child’s parent or legal guardian and are authorized to do so. If you believe a child has provided information without appropriate authorization, contact us at support@ixitapp.com and we will take appropriate steps to review and, if necessary, delete that information.

14. Your Choices and Rights

  • Edit information in the app where available;
  • Export data where export features are available;
  • Delete your account or request deletion;
  • Opt out of marketing emails if we send them;
  • Manage notifications and device permissions through account, browser, or device settings;
  • Request privacy help by emailing support@ixitapp.com.

15. U.S. State Privacy Rights

Depending on your state of residence, you may have rights under U.S. state privacy laws, including but not limited to the laws of California, Colorado, Connecticut, Virginia, Utah, Texas, Oregon, Montana, Delaware, New Jersey, Nebraska, New Hampshire, Minnesota, Maryland, Rhode Island, Indiana, and Kentucky, among others that may take effect from time to time. Subject to exceptions under applicable law, these rights may include the right to know or access the personal information we hold about you, correct inaccurate information, delete personal information, obtain a copy of your information in a portable format, opt out of the sale of personal information or its use for targeted advertising, opt out of certain profiling in furtherance of decisions that produce legal or similarly significant effects concerning you, and appeal a decision we make regarding your request.

We do not sell personal information and do not share personal information for cross-context behavioral advertising or targeted advertising. Categories of personal information we may collect are described in Section 3. To exercise any applicable rights, email support@ixitapp.com. We will verify your request using information associated with your account before responding, and you may designate an authorized agent to submit a request on your behalf where permitted by law. We will not discriminate against you for exercising your privacy rights.

16. International Users – EEA, UK, and Other Regions

Ix-It is operated from the United States by Aurora Dune LLC. This Section applies to individuals located in the European Economic Area (“EEA”), United Kingdom (“UK”), Switzerland, and other regions outside the United States, in addition to the rest of this Policy.

16.1 Our Role

For personal information subject to the EU General Data Protection Regulation (“GDPR”) or UK GDPR, Aurora Dune LLC acts as the data controller of account, property, inventory, maintenance, vendor, and similar information you submit to the Service.

16.2 Legal Bases for Processing

We process personal information under the following legal bases, as applicable: performance of a contract with you (to provide the Service); our legitimate interests, such as securing and improving the Service and preventing fraud, balanced against your rights and interests; your consent, such as for optional cookies or marketing communications, which you may withdraw at any time; and compliance with a legal obligation.

16.3 Your Rights

Subject to applicable law and exceptions, you may have the right to: access the personal information we hold about you; request correction of inaccurate information; request deletion of your information; restrict or object to certain processing, including processing based on legitimate interests and direct marketing; request a portable copy of information you provided to us; and withdraw consent at any time where processing is based on consent, without affecting the lawfulness of processing before withdrawal. To exercise these rights, email support@ixitapp.com. You also have the right to lodge a complaint with your local data protection supervisory authority.

16.4 International Data Transfers

Because Ix-It is operated from the United States, your information will be transferred to, stored, and processed in the United States, which may not have the same data protection laws as your home jurisdiction. Where required, we rely on appropriate safeguards for such transfers, such as the European Commission’s Standard Contractual Clauses and the UK International Data Transfer Addendum, as applicable, through our service providers’ agreements. 16.5 EU and UK Representatives

Ix-It does not currently target or actively market the Service to individuals in the European Union or United Kingdom, and we do not currently maintain a designated representative in the EU or UK under Article 27 of the GDPR or UK GDPR. If you are located in the EU or UK and have questions about how we handle your information, contact us directly at support@ixitapp.com. We will revisit this Section, including appointing a representative if required, if we begin actively offering or marketing the Service to individuals in the EU or UK.

16.6 Other Regions

If you access the Service from Canada, Australia, or other jurisdictions with their own data protection laws, we process your information consistent with this Policy and applicable local law. Contact us at support@ixitapp.com with any jurisdiction-specific questions or requests.

17. Changes and Contact

We may update this Privacy Policy from time to time. Material changes will be posted with an updated “Last Updated” date, and where required by applicable law, we will provide additional notice before the change takes effect. Contact us at:
